GlowInvoicing is operated by USMAN TECH. This policy explains what data we collect through the GlowInvoicing platform, how it's used, and the rights available to you.

Who this applies to

GlowInvoicing is billing software used by businesses ("tenants") to invoice their own customers. That means two kinds of data pass through the platform:

  • Tenant account data — the business name, admin/team member names and emails, and billing configuration of an organization using GlowInvoicing. For this data, USMAN TECH is the data controller.
  • Customer data entered by a tenant — the names, contact details, and billing addresses a tenant enters for the customers they invoice. For this data, the tenant is the data controller and USMAN TECH acts only as a data processor on their behalf.

If you're the customer of a business that uses GlowInvoicing to bill you, requests about your own data should go to that business directly — they control what's stored about you and can anonymize your record on request (see "Your rights" below).

What we collect

  • Account information: name, email, password (hashed, never stored in plain text), and organization details, provided at registration.
  • Billing data a tenant enters: customers, projects, quotations, invoices, payments, and the documents generated from them.
  • Usage and technical data: login activity, audit trail entries for account-affecting actions, and standard web server logs (IP address, browser type, timestamps).

How we use it

  • To operate the platform: authenticate accounts, generate invoices/quotations/receipts, process recurring billing, and send transactional email (account activation and password reset).
  • To provide support and investigate account issues, via the audit trail described above.
  • To communicate service updates, such as platform announcements or billing notices.

We do not sell personal data, and we do not use tenant or customer data for advertising.

Who we share it with

We use a small number of third-party processors to run the service, currently:

  • An email delivery provider, to send transactional email on our behalf (account activation and password reset).

We do not share data with any other third party except where required by law.

Data retention

Account and billing data is retained for as long as a tenant's account is active, plus a reasonable period afterward for financial record-keeping. Financial documents (invoices, payments) are kept even after a customer record is anonymized — accounting and tax obligations generally require this — but the customer's personal details are removed at that point.

Your rights

Depending on your region, you may have rights to access, correct, or request erasure of your personal data.

  • If you're a tenant's customer: contact that business directly. Their Admin can anonymize your customer record — this removes your name, contact details, and address while keeping the underlying financial records they're required to retain.
  • If you're a GlowInvoicing account holder (tenant Admin/team member): contact us using the details below to request access to or correction of your account data.

Some regions have additional requirements (for example, GDPR consent) — where that applies, the relevant business's Regional Settings reflect the specific consent text and any linked regional privacy policy that governs their operation in that region.

Cookies

GlowInvoicing uses only the cookies necessary to keep you signed in and to protect forms against cross-site request forgery. We don't use tracking or advertising cookies.

Security

Passwords are hashed, not stored in plain text. Access to tenant data is scoped so one organization can never see another's records, and platform-level administrative actions are recorded in an audit trail.

Changes to this policy

We may update this policy as the platform evolves. Material changes will be reflected here with an updated date at the top of the page.
